Aspects of safety and comfort are already at the forefront during the planning of a live event.
As a result of the changed circumstances, significance of contactless solutions has increased. At the same time, personal interactions are particularly important in the Tourism and MICE sector. It is nearly impossible to replace live networking with technological innovations, as it is the personal connection that makes them a real experience. We can replace some services with contactless methods, while aiming for the optimal combination of personal and non-contact services. Use of fast, convenient smart solutions help avoid congestion and unnecessary personal contacts.
Due to reduced physical participation, it is getting more and more important to inform, entertain and preoccupy attendees. Furthermore, contactless services need to offer additional solutions for easy networking and joint teamwork.
Our aim is to introduce contactless methods and enhance the guest experience at the same time. We recommend using creative services that build trust towards live events by increasing comfort and safety.

Registration area and public areas
Registration and entry via QR codes: The customizable QR code system offers a complete solution for pre- and on-site registration, admission and event management. It is an ‘easy-to-use’ tool: participants receive a QR code via email prior to the event, their badge is printed on-site upon scanning the code.
Branded walls / totems / digital surfaces with hand sanitizers: Instead of regular hand sanitizers, unique decoration walls and backdrops with built-in automatic disinfection dispensers upgrade the event and serve as decoration elements, space dividers or branded surfaces for sponsors.
Displays, information boards: Instead of printed programs, floor-plans or touch-screen information kiosks, delegates can find their way with the help of digital information boards. Detailed event agenda, venue map, speaker profiles and sponsor information run on LED displays in the venue halls.
Colored wristbands: Using colored armbands is a fun way for delegates to express their preferred way of interaction (e.g. to keep social distance). Wristbands are also a great tool to form teams or groups, coordinating delegates between programs and breakouts, or for admission to the conference room. (See at ‘Meeting’ section.).
Floor stickers: We need to get used to following and keeping new health & safety measures and rules. Yet, no one likes to be told where to stand or how much distance to keep at the registration or in the breaks. These regulations may negatively affect the overall experience and personal comfort level. Boosting floor stickers with funny content and cool messages can cheer up the audience and make the event even more memorable.
Interactive hostess robot: An unusual way to reduce human contact between delegates is ‘employing’ an interactive hostess robot. Circulating among the delegates, it can remind them in a funny way to keep distance or wash their hands, or just transmit important organizer information.
Meeting
Another challenge at events is to avoid congestion at the entrances. Following ideas help the smooth and seamless processing of guests in and out of meeting rooms.
It will stretch the seating process if guests enter the room in time slots. Admission order and appointed time slot is communicated to the delegates in advance. Aspects to consider:
● In alphabetical order or based on any other pre-defined criteria
● Via color codes or color armbands
● Via push messages through the event app
To entertain those who take their seats first and need to wait longer due to the lengthened seating process, sponsor spots or relevant event information may be displayed in the meeting room. Moderators or organizers can also welcome guests who enter the room and involve them in activities using the available technical equipment or the event app.

Meals, catering
Coffee breaks and meals are very important elements of any event, venues and catering companies certainly have a number of solutions that do not degrade the ‘experience’ factor. However, see few more noteworthy ideas below.
Thanks to the sushi-belt, delegates can help themselves and pick their own food and drinks without passing cutlery from hand to hand . The sushi-belt is a spectacular and hygienic food presentation solution.
The color codes can easily work at meals, too. With their help, guests can be allocated at different food stations in order to avoid queues. Pre-packaged food portions ensure contactless catering.
